Planning Behind the Gate in Weston

As the luxury event planning company in Weston, Florida, we take the guardhouse, the clubhouse and the clock as one job rather than three. Almost every celebration here happens behind a gate, and that shapes the plan long before anyone picks a menu. Vendors need to be on a list, carry a certificate of insurance, and arrive inside a window someone else set. Weston is not a Las Olas load-in, and we do not plan it like one.

HOA Packets, Clubs and Timing

Guardhouse and vendor list. Before the walkthrough we collect the HOA vendor packet: insurance, gate list, load-in hours, dumpster rules. A truck that is not on the list does not enter at 2 p.m. because someone called the booth.

595 west and the gate queue. Davie to Weston Town Center is I-595 west, typically fifteen to twenty minutes off-peak, longer when 75 is stacked. Weston Hills sits farther west. We pad the beach-style buffer only when the gate actually queues.

Clubhouse sequence. A clubhouse run or a tent on a lot the HOA already approved. Company hosts using an award-dinner run-of-show still get a producer on the floor.

Out before the gate closes. Gates close. We do not leave a box truck inside after the window. We stay until the last vehicle is out.

Weston Communities and Country Clubs

Weston Town Center. Cleveland Clinic, hotels, restaurants, a civic lawn that is not a banquet hall. Commercial load-in is the exception in Weston — this is where a truck can actually dock. Parking garages and surface lots. Outdoor sound competes with the loop road. Indoor hotel rooms run on hotel BEOs. From Davie this is the first Weston exit off 595. We do not treat Town Center like a gated lot; we treat it like the one strip in town that behaves like a hotel.

Weston Hills Country Club. The club sets the terms: kitchen, preferred caterers, golf-course views, a service gate that is not the member drop-off. Cart paths are not truck paths. Ceremony on a tee sounds fine until the shotgun. We check the tee sheet. Member events and outside weddings do not share a playbook; we read which one you actually booked. Drive from Davie is 595 west then the Hills — twenty to twenty-five minutes, plus the gate.

Bonaventure. Older Weston, town-center club, mixed HOA. Easier than Hills for a truck, still not University Drive. Clubhouse rooms, pool decks with noise rules against the condos. Parking is a lot, not a garage. We walk the service drive. If Bonaventure’s kitchen is required, that goes on the cue sheet in month-of, not the week of.

Windmill Ranch and the estate HOAs. Large lots, horses in places, the strictest gates. Guest lists at the booth. No 26-foot truck after the posted window. Power is residential unless we generator — and generators have their own HOA hours. We use smaller vehicles and a longer setup. If the guest count needs a commercial kitchen, we say so instead of forcing a ranch lot to behave like Town Center. This is where an estate dinner with one producer on it actually belongs, and where it falls apart if you skip the packet.

Weston Regional Park and the civic spaces. Ball fields, an amphitheater lawn, and parking that looks generous until three leagues finish at once. County park rules govern alcohol, amplified sound and generators, and the permit timeline runs longer than most hosts expect, so we pull it before anyone commits to florals. Load-in is a curb and a gate rather than a banquet dock, which means smaller vehicles and a longer setup window. It is also the one place in Weston where a large outdoor celebration does not need an HOA’s blessing, which makes it worth a look when the guest list outgrows a clubhouse.

Indian Trace and Tequesta Trace. The spine roads, parks, and the houses behind them. Tequesta Trace Park runs on a Broward Parks permit: field lights, posted hours, parking that dies when youth sports let out. Residential streets off Indian Trace are HOA first. We do not stage a catering truck on Indian Trace at 5 p.m. From Davie, 595 to 75 or Griffin west — still a short county hop, still a gate.

The I-75 edge. Offices and the rare hotel hugging 75. Easy truck access, highway noise, no club romance. Company programs land here. Weddings usually should not. We keep cocktail hour inside or we put the noise in writing. Load-in is a commercial dock. Drive is 595 to 75, comparable to Town Center, without the garage.

Quinceaneras and bilingual nights. Weston has one of the largest South American communities in Broward, and quinceaneras, milestone birthdays and bilingual receptions are a standing part of the calendar here rather than an occasional request. Those nights run on different timing: a choreographed entrance needs floor space and a rehearsal slot the venue has to agree to in advance, dinner lands later than a typical reception, and the run-of-show has to work for guests and vendors who may not share a first language. Families planning a court, a formal entrance and a reception that holds its timing get the same producer and the same cue sheet as any other night we run.

What Weston will not give you. There is no Las Olas. There is no oceanfront Marriott dock. Almost every residential celebration is a gate, a club, or a park permit. We plan to that. A clubhouse party we staff and run still needs the HOA packet, and we collect it before we lock florals. We write the cue sheet to the address, not to a generic city diagram.
